Serving homes, rentals and commercial premises in Virginia and Florida

How we work

One process, written down from the first visit to the final report.

Clear process is what makes a property services firm accountable. Here is ours: the stages every job moves through, the arrangements you can choose between, how we keep you informed and the documents you keep at the end.

The process

Six stages, the same on every job.

Small repairs move through these quickly — sometimes in a single visit. Larger projects take longer at each stage. The order never changes.

  1. 01

    Initial conversation

    What we do

Starting from your enquiry, we go through the property, what is prompting the work, any fixed dates and how you prefer to be kept informed.

    What you receive

A short summary of what we discussed and the proposed next step.

  2. 02

    Site visit or condition walkthrough

    What we do

We see the property, record its condition with photographs and confirm what is in scope and what is not.

    What you receive

Condition notes with photographs; a prioritized list where it helps.

  3. 03

    Written scope and schedule

    What we do

We set out what will be done, the sequence, access and occupant arrangements, the update schedule and the estimate.

    What you receive

A scope of work and schedule to approve, change or decline.

  4. 04

    Works and scheduled updates

    What we do

Work proceeds in sequence with the property protected. Any change is written down, with its effect on cost and timing, before it goes ahead.

    What you receive

Updates on the agreed schedule; a change record for anything that moves.

  5. 05

    Walkthrough and close-out

    What we do

We check the finished work against the scope, list anything outstanding and close every punch-list item.

    What you receive

A closed punch list, confirmed with you.

  6. 06

    Completion report and property record

    What we do

Photographs, products and finishes, care notes and anything to watch, filed against the property for next time.

    What you receive

A completion report; an updated property record.

Arrangements

Three ways to work with us.

Choose the arrangement that fits how you own and manage the property. Many owners combine them over time.

Comparison of the three ways to work with Khan Property Services
Defined jobOne-off project Ongoing schedulePlanned maintenance program Standing route for repairsOn-call arrangement
Best suited to A defined piece of work: a renovation, a turnover, pre-sale preparation or a set of repairs. Properties that benefit from routine care: rental buildings, common areas, commercial premises, homes with a lot of exterior. Owners and managers who need a standing route for repairs across one or more properties.
How it is scoped One scope of work and estimate for the whole job. An annual schedule of tasks by season, agreed with you. Larger items are scoped separately. Terms agreed up front: how requests are raised, what we can approve without you and how work is priced.
How it is scheduled Start date and sequence set out in the scope. Visits booked in advance and confirmed before each one. Each request confirmed, with the earliest visit we can offer.
How you hear from us Updates on a schedule agreed at the start, plus written notice of any change. A visit record after every visit. A completion note for every request, referenced to your system if you use one.
What you receive Scope, change record, punch list and completion report. Schedule, visit records, items-to-plan-for list and an annual summary. Request log, completion notes with photographs and a running property record.

Communication

How you will hear from us.

Most frustration with contractors comes from not knowing what is happening. We agree the rules at the start and write them into the scope.

Before work starts, we agree

  • Who your coordinator is, and who to contact if they are unavailable
  • How you want updates — by email or through your own system
  • How often you will hear from us, and on which days
  • Who else needs copying in: an owner, an agent, occupants
  • What we can approve without you, if anything, and up to what limit

Once work is underway

  • Updates arrive on the schedule we agreed, whether or not there is news
  • Anything needing your decision is sent to you with the options set out
  • No change to scope, cost or timing proceeds without your written approval
  • Occupants receive the notice we agreed, in the form we agreed
  • You can ask for photographs of progress at any point

Documentation

Six documents, kept with the property.

Written to be read by you, an owner, an agent or the next contractor — without needing us to explain them.

  • Condition notes

From the walkthrough or site visit: the property’s condition, element by element, with photographs.

  • Scope of work

What will be done and what will not, the sequence, access arrangements, update schedule and estimate.

  • Change record

Each change to scope, cost or timing, with your written approval.

  • Progress updates

What is done, what is next and anything that needs a decision — on the agreed schedule.

  • Completion report

Photographs, products and finishes, the closed punch list, care notes and anything to watch.

  • Property record

Every job filed against the property, so its history is never lost between contractors or owners.

On site

Standards we hold ourselves to on site.

These are commitments about how we work, not claims about outcomes. They form part of every scope.

  1. 01

    Protect before we start

Floors, finishes, furniture and planting are protected before work begins and stay protected until it ends.

  2. 02

    Photograph before, during and after

Conditions are recorded before anything is touched, so there is never a question about what was there.

  3. 03

    Nothing beyond scope without approval

If we find something, we stop, photograph it and ask. Work continues only once you approve.

  4. 04

    Keys and access logged

Every key, code and access device is logged out and back in, and access arrangements are kept to.

  5. 05

    Occupied means considerate

Agreed working hours, agreed notice and clear routes kept open for the people living or working there.

  6. 06

    Leave it tidy, every day

The site is cleared at the end of each working day, not just at the end of the job.

Next step

Start with a conversation about your property.

Tell us about the property, what it needs and how you would prefer to work. We will reply by email to arrange a site visit and confirm what happens next.
