Repairs, reported once and closed out properly.
When something breaks, wears out or stops working, you tell us once. We confirm what we have understood, fix it or scope it, and close it with a photo record — so every repair adds to your property’s history instead of disappearing from it.
Scope
What the work typically covers.
Most repairs fall into a handful of familiar categories. These are typical of the work we carry out — always at the level of fixtures, fittings and finishes.

Sequence
How it runs, step by step.
The same order every time, so you always know where the job stands and what comes next.
- 01
Report
Email your coordinator, with photographs where you can. Each issue gets its own reference so it can be tracked through to completion.
- 02
Confirm
We confirm in writing what we have understood, how access will work and the earliest visit we can offer.
- 03
Diagnose
On site we look for the cause, not just the symptom. If the fix is simple and within your pre-approved limit, we carry it out on the same visit.
- 04
Scope larger repairs
If the repair is larger than expected, you receive a written scope and estimate before any further work goes ahead.
- 05
Close out
A completion note with photographs, the materials used and anything worth keeping an eye on — filed to your property record.
Decisions
Decisions you will make along the way.
Good scoping means raising these early. We set out the options and trade-offs; the decision stays with you.
01What is urgent and what can wait?
We tell you which issues affect safety, security or water-tightness, and which can be grouped into the next visit without harm.
02Repair or replace?
For worn items we set out both options and their trade-offs side by side, rather than defaulting to the bigger job.
03A pre-approved limit
Agreeing a limit for small fixes lets us complete them on the first visit instead of returning after an approval.
04Matching existing finishes
Older properties often need finishes matched rather than replaced. Where an exact match is not possible, we say so before work begins.
What you receive
The paperwork that comes with the work.
A repair is only finished when you can see what was done. Every request leaves the same short paper trail.
- Request confirmationWhat we understood, the reference number and the access arrangements.
- Written scopeFor anything beyond a simple fix: what will be done, how, and the estimate.
- Completion notePhotographs of the finished repair, materials used and anything to watch.
- Property record entryFiled against the property, so repeat issues are easy to spot.
Outside this scope
Repairs we take on are at the level of fixtures, fittings and finishes. Gas work, electrical panels and new wiring, refrigerant-based heating and cooling, structural repairs and hazardous materials need a licensed specialist and are outside our scope. If there is an immediate risk — a gas smell, an electrical hazard or active flooding — contact the utility company or emergency services first.
Questions
Common questions about repairs.
Can tenants or occupants report repairs directly?
If you would like them to, yes. We agree the process with you first: who can report, what we can approve without you, and how you are copied in on every request.
Do you group small repairs together?
Where nothing is urgent, grouping small repairs into one visit is usually the more efficient option. We suggest it when it makes sense and leave the decision with you.
What if a repair uncovers a bigger problem?
We stop, photograph what we have found and explain it before going further. Nothing beyond the agreed scope proceeds without your written approval.
